Position: Administrative Assistant (Corporate)

Summary of Position:

  • Under the general and direct supervision of the Vice President of Operations and the Vice President of Public Affairs/Government Relations.
  • Performs a variety of administrative and clerical tasks, including but not limited to answering telephones, filing, copying, data entry, word processing, and spreadsheet preparation.
     

Responsibilities:

  • JOB SKILLS:
    1. Types, proofreads and translates (if necessary) in draft or final form letters, memos, reports, schedules, flyers, etc. as requested.
    2. Serves as receptionist, greeting visitors and answering the telephone in a pleasant and efficient manner.
    3. Assists in preparing materials for meetings and/or mailings as requested.
    4. Communicates clearly and effectively.
    5. Responds to members, potential members, and staff in a friendly, prompt, and caring manner and maintains confidentiality when appropriate.
    6. Promotes mutual respect and professionalism.
    7. Coordinates projects as assigned and prepares any related materials.
    8. Performs other duties as requested.
       
  • USE OF EQUIPMENT:
    1. Operates the following machines in a safe and efficient manner: copy machine, fax machine, computer, printers, telephones and Verifone systems.
       
  • DOCUMENTATION:
    1. Keeps track of whereabouts of Corporate Staff.
    2. Takes clear, complete and accurate telephone messages.
    3. Maintains orderly and complete corporate file and records.
    4. Transcribes, distributes and files meeting minutes as necessary.
       
  • GENERAL OFFICE DUTIES:
    1. Inventories, orders and maintains supplies, forms and materials at appropriate stock levels without excessive inventory. Receives, inspects and stores materials on a timely basis.
    2. Oversees the distribution of all correspondence and mail via courier, facsimile, electronic mail and the US Postal Service.
    3. Opens and sorts mail.
    4. Maintain a neat and clean office area.

Qualifications:

  • High School graduate or equivalent, in order to have mature reasoning ability required.
  • Must possess a basic proficiency in English, spelling and math.
  • Computer literate in word processing and spreadsheet programs. Should possess internet ability for researching new concepts and ideas.
  • Must be able to pay attention to details.
  • This could be an entry-level job. However some prior experience is preferable.
